Pay by QR: how a snack gets bought with a phone, step by step

No card, no coins, no app to install. Here is what actually happens when someone scans the code on a vending machine — and why operators like it as much as shoppers do.

In short

  • A shopper picks a product, scans the code on the machine and pays on their own phone. No app needed.
  • They pay the way they already pay online, through a trusted payment provider.
  • For the operator, QR opens a sale to everyone who has a phone but no coins — and every sale lands in CleaVend like any other.

Picture the late shift at a hospital. A nurse walks up to the drinks machine, pats their pockets and finds nothing: no coins, no card, just a phone. Five years ago that was a lost sale. Today it takes about twenty seconds to buy the drink anyway.

That's pay-by-QR. It sounds technical, but from the shopper's side it's the simplest way to pay a machine has ever offered. Let's walk through it.

What the shopper doesn't have to do

The nicest part of QR is everything that's missing:

  • No app. Every modern phone camera recognises a QR code and offers to open it. That's all it takes.
  • No account. Nobody has to sign up, remember a password or hand over their email to buy a drink.
  • No new way to pay. The checkout uses the methods people already trust on their phone, run by a payment provider whose job is keeping that safe.

The code on the screen belongs to this one purchase: this machine, this product, this price. Once it's paid, it's used up. Nobody can photograph it and pay for someone else's snack by mistake.

Card details never touch the machine. The payment happens on the shopper's phone with the payment provider. The machine only hears "paid" or "not paid" — which is exactly how it should be.

Why operators like it just as much

For whoever runs the machines, QR quietly fixes a few old problems.

More people can buy

Fewer people carry coins every year, and not every machine has a card reader yet. A QR code turns "sorry, no change" into a sale, on any machine with a screen to show the code.

Every sale in the same place

QR purchases appear in CleaVend next to card and cash sales, for the same machine and the same product. You don't need a separate report to see how much came in by phone — it's simply another column on the sales screen.

One less thing to empty

Every purchase that doesn't use coins is money that doesn't need counting, carrying or banking. On busy sites, that adds up to fewer cash runs.

The best payment method is the one your customer already has in their hand.

Getting a machine ready for QR

Behind the scenes there's a one-time setup: the business is verified once with the payment provider, and each machine is registered so the codes it shows belong to it. After that, every purchase follows the same five steps you just clicked through. Nothing changes for the person refilling the machine, and nothing changes for the shopper except one more way to say yes.

Back at the hospital, the nurse is already walking away with the water. They won't think about it again — and that's the whole point.
